Job Overview:
Ultimate Staffing is seeking a highly organized and detail-oriented Administrative Assistant to join our clients organization. The ideal candidate will provide crucial support to ensure the smooth operation of daily business activities. The Administrative Assistant will be responsible for handling various tasks, including but not limited to clerical duties, scheduling, data entry, and communication management. The candidate should be proficient in office software and possess excellent interpersonal skills.

  • 100% on Site in Hanover, Maryland
  • Monday through Friday 8am to 5pm
  • $19 to $21 an hour depending on experience

Responsibilities:

Clerical Support:

  • Perform general office duties such as photocopying, filing, and organizing documents.
  • Manage and maintain physical and electronic filing systems.

Communication Management:

  • Answer and direct phone calls, emails, and other inquiries.
  • Draft and proofread correspondence, reports, and other documents.
  • Maintain professional and effective communication with internal and external stakeholders.

Scheduling and Calendar Management:

  • Coordinate and schedule meetings, appointments, and conference calls.
  • Manage executive calendars and assist in planning events.

Data Entry and Record Keeping:

  • Accurately enter and update data in databases and spreadsheets.
  • Maintain and update records, ensuring information is current and accessible.

Travel Arrangements:

  • Arrange travel accommodations, including flights, hotels, and transportation.
  • Prepare travel itineraries and ensure all necessary documentation is in order.

Office Organization:

  • Keep the office environment tidy and organized.
  • Order and maintain office supplies and equipment.

Task Prioritization:

  • Prioritize tasks and manage time efficiently to meet deadlines.
  • Assist in coordinating and prioritizing workload for team members.

Meeting Support:

  • Prepare meeting agendas and take minutes when required.
  • Arrange meeting rooms and ensure necessary resources are available.

Team Collaboration:

  • Collaborate with colleagues and provide support as needed.
  • Foster a positive and collaborative work environment.

Qualifications:

  • Proven experience as an administrative assistant or in a similar role.
  • Proficient in Microsoft Office Suite and other relevant software.
  • Excellent communication and interpersonal skills.
  • Strong organizational and multitasking abilities.
  • Attention to detail and problem-solving skills.
