Job Description

We are seeking a Human Resources Benefits Specialist to join a client in Fremont. The position is 100% onsite. The HR Benefits Specialist will be responsible for the following job duties.

  • Serve as the daily point of contact for all employee benefits-related inquiries, claim resolution, providing guidance and assistance to employees.
  • Manage the billing process for various benefit providers, ensuring accuracy and timely payments for all health benefits expenses.
  • Audit monthly benefit invoices, meticulously prepare breakdowns, and promptly submit them to Accounts Payable (AP) and General Ledger (GL) teams. This will include processing auto ACH drafts and handling check requests as necessary, maintaining thorough documentation of transactions.
  • Administer First Day Benefits and Wellness Orientations with all eligible new hires.
  • Collaborate with relevant departments to collect billing data and reconcile discrepancies, ensuring seamless financial operations.
  • Facilitate and assist in yearly Open Enrollment, including annual 1094 and 1095 administration.
  • Maintain an up-to-date tracking sheet for LOA, tracking employee claims and partnering with the payroll team.
  • Manage continued benefits payments for non-union personnel on leave, coordinating closely with payroll to ensure accurate and timely recording.
  • Partner with our Fleet Manager on all aspects of Fleet Program Management, including administration of accident reporting, insurance company requirements, claim facilitation, registration renewals, and compliance with tax and permit requirements.
  • Coordinate with vendors for SMOG checks and other vehicle-related services, ensuring vehicles meet necessary regulatory standards.
  • Maintain physical files and update tracking systems to accurately document fleet activities and expenses.
  • Facilitate vehicle sales, gifting, and gas card ordering, streamlining the procurement process for fleet-related needs.
  • Maintain and pay for proper fleet permits necessary for fleet operations.
  • Process annual and new hire Motor Vehicle Record Checks to ensure compliance with auto policy limits for all drivers.
  • Conduct monthly audits to verify the accuracy and compliance of gas card usage, ACA regulations, fleet lists, benefit bills, LOA documents, LOA lists, and COBRA enrollments.
  • Maintain the Wellness Activities calendar and experience with company event facilitation.
  • Facilitate the company Anniversary Award Program.
  • Facilitate the company EDD/Workshare Program, processing weekly Workshare claim administration.


  • Bachelor's degree in human resources or related field.
  • 3+ years of previous experience administering company benefit programs.
  • Strong understanding of benefits billing processes.
  • Direct experience in the administration of various company benefits programs.
  • Experience in company car programs and reporting.
  • Exceptional attention to detail and accuracy in handling financial transactions and data.
  • Excellent communication and interpersonal skills, with the ability to interact effectively with employees at all levels of the organization.
  • Proficiency in HRIS software and Microsoft Office suite.
  • Knowledge of relevant State and Federal regulations and compliance requirements.
  • Demonstrated ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines in a fast-paced environment.
