Job Description

We are currently recruiting for an Executive Administrative Assistant to support our client onsite in Boca Raton. They are a fast-growing distributor within the regenerative medicine space, known for their innovative solutions and high-performance culture. This temp-to-hire opportunity is ideal for someone who thrives in a fast-paced environment, is highly organized, and has a proactive, "no task is too small" attitude. This role provides direct support to the company's founder and executive leadership and offers long-term growth potential for the right individual.

Responsibilities:

  • Provide executive-level administrative support to the owner and leadership team, including calendar management, meeting coordination, and communications.
  • Serve as a liaison across departments to ensure efficient operations in areas such as sales, marketing, logistics, and general administration.
  • Prepare reports, presentations, and documentation; manage project timelines and track deliverables.
  • Follow up on client communications, assist with order processing, and maintain CRM data integrity.
  • Anticipate executive needs, prioritize tasks, and take initiative to resolve issues independently.
  • Support daily office functions including mail, supply management, and vendor coordination.

Skills & Qualifications:

  • 2+ years of experience in an administrative or executive assistant role (fast-paced or entrepreneurial environments a strong plus)
  • Strong proficiency in Microsoft Office Suite (especially Outlook, Word, Excel, and PowerPoint); CRM or ERP experience preferred
  • Excellent written and verbal communication skills with strong attention to detail
  • Ability to prioritize and multitask effectively, while maintaining a calm and professional demeanor under pressure
  • Proven ability to manage sensitive information with discretion and sound judgment
  • Self-starter mindset with a problem-solving approach-must be comfortable working independently and owning responsibilities from start to finish
