Job Title: Receptionist - Insurance Company
Job Type: Full-Time M-F 8:30am-5pm
Department: Front Office / Customer Service
Position Summary:
We are seeking a highly organized and professional Receptionist to manage a fast-paced front desk at our insurance company. This role is the first point of contact for brokers, vendors, and customers, and plays a critical role in ensuring smooth communication and efficient operations across departments.
Key Responsibilities:
Greet and assist all visitors, including brokers, vendors, and customers, in a courteous and professional manner.
Answer and direct high volumes of incoming calls to the appropriate departments or personnel.
Respond promptly to email inquiries and route messages to the correct recipients.
Maintain a clean and organized front desk and reception area.
Manage appointment scheduling and maintain visitor logs.
Coordinate with internal departments to ensure timely responses to broker and customer needs.
Handle incoming and outgoing mail and deliveries.
Support administrative tasks such as data entry, filing, and document preparation.
Maintain confidentiality and comply with HIPAA and company policies.
Qualifications:
High school diploma or equivalent; associate degree preferred.
2+ years of experience in a receptionist or front desk role, preferably in the healthcare or insurance industry.
Strong verbal and written communication skills.
Proficient in Microsoft Office Suite (Outlook, Word, Excel).
Ability to multitask and remain calm under pressure in a busy environment.
Excellent organizational and time management skills.
Familiarity with insurance processes and terminology is a plus.
Preferred Skills:
Bilingual (English/Spanish or other languages) is a plus.
Experience working with brokers or in a call-heavy environment.
