Position Overview

Ultimate Staffing is looking for an Administrative Assistant to support a semiconductor client in Sunnyvale, CA. This position is a contract-to-hire role and offers an opportunity to work onsite with a dynamic team. The pay range for this role is $24 to $30 per hour, depending on experience. The working hours for this position are from 8:00 AM to 5:00 PM, Monday through Thursday.

Responsibilities

The Administrative Assistant is responsible for providing comprehensive support to the Manager of Travel and Administrative Services. The role includes coordinating travel arrangements, managing office operations, and ensuring a seamless workflow in a busy office environment. Key responsibilities include:

  • Coordinate office activities and ensure compliance with company policies.
  • Manage office supplies, track stocks, and place orders as needed.
  • Maintain a presentable and well-organized office environment, including the front lobby, copy/printer room, kitchen, and conference rooms.
  • Plan and coordinate company events and meetings, such as office picnics, holiday events, and other social gatherings.
  • Manage emails, letters, packages, phone calls, and other correspondence.
  • Welcome and guide visitors, maintain logbooks, and issue visitor badges.
  • Ensure office security by monitoring and managing access according to safety regulations.
  • Coordinate travel arrangements, including flight tickets, accommodations, and transportation, in compliance with company travel policies.
  • Maintain travel profiles, booking records, and related invoices.

Qualifications

  • Minimum of 3 years of administrative experience.
  • Previous experience in travel arrangements is preferred but not required.
  • Proficiency in Windows, MS Office, Outlook, Word, Excel, and PowerPoint.
  • Excellent written and oral communication skills.
  • Basic math skills.
  • Strong analytical skills, attention to detail, and ability to multitask.
  • Ability to work independently and adapt to changes within the department.
  • Professional demeanor and excellent verbal communication skills.

Required Work Hours

Monday to Thursday, 8:00 AM - 5:00 PM.
