Job Overview:

We are seeking a reliable, detail-oriented, and proactive Customer Service & Dispatch Coordinator to join our client in Irvine, CA. This is a full-time temp-to-hire position ideal for someone who thrives in a fast-paced, customer-focused environment. The successful candidate will manage service work orders, coordinate inspections, dispatch vendors, and maintain strong relationships with both customers and subcontractors.

Key Responsibilities:

  • Provide outstanding customer service through phone and email (heavy Outlook use).
  • Manage and dispatch service work orders based on customer expectations and priorities.
  • Maintain and update work order status in the Great Plains system.
  • Build professional relationships with clients and subcontractors.
  • Communicate service scope and expectations to affiliate subcontractors.
  • Monitor open and closed work orders, ensuring timely completion and updates.
  • Track inspection requests, obtain customer purchase orders, and dispatch work accordingly.
  • Submit repair proposals and follow up on service and inspection completions.
  • Ensure proper documentation, including reports, paperwork, and invoices, is submitted timely.
  • Provide weekly status updates and respond to inquiries about inspections and services.
  • Utilize internal systems for workflow billing:
  • Review exception management and mark-up queues.
  • Price services appropriately and ensure NTE (Not to Exceed) amounts are honored.
  • Verify all documentation for accuracy before invoicing.

Ideal Candidate Will Have:

  • Experience with Outlook and high-volume email communications.
  • Previous experience in customer service, dispatching, or facilities coordination.
  • Strong organizational and multitasking skills.
  • Familiarity with Great Plains or similar work order management systems is a plus.
  • Excellent written and verbal communication.
  • Positive attitude and team-oriented mindset.
