Ultimate Staffing Services is seeking a dedicated and skilled Risk Management Coordinator to join a dynamic team in Oregon. This role is essential in ensuring contract compliance, insurance management, and risk mitigation. Responsibilities
The Risk Management Coordinator is responsible for reviewing, preparing, and tracking contracts, ensuring subcontractor insurance compliance, and managing subcontractor non-compliance issues. This role collaborates closely with the General Counsel to address concerns and enhance systems based on ongoing assessments.
- Reviews, prepares, and tracks contracts in collaboration with General Counsel.
- Provides guidance and support to team members on contract interpretation and clarification.
- Examines subcontractor and supplier insurance documents to ensure alignment with contractual insurance requirements.
- Manages the use of company insurance policies, including Builder's Risk policies, and maintains regular communication with internal personnel, subcontractors, and insurance agents.
- Conducts preliminary contract reviews to identify potential risks, coordinates with internal and external stakeholders, and partners with General Counsel when needed to secure appropriate revisions. Tracks contract execution status.
- Actively reviews sub-tier insurance documents (General Liability, Workers' Compensation, Umbrella, Auto, and Pollution Liability) to ensure compliance with project requirements. Oversees project-specific Builder's Risk policies in coordination with General Counsel.
- Identifies contractual risks, assesses terms and conditions of assigned contracts, and negotiates terms to reduce risk. Provides guidance on contract issues and collaborates with General Counsel as needed.
- Monitors insurance expiration reports daily to ensure timely receipt of renewal documents, minimizing non-compliance. Maintains active communication with relevant parties to obtain missing documentation and works with vendors to achieve compliance.
- Reviews, comments on, logs, and tracks a range of contract and legal documents, keeping current on agreement expiration dates. Maintains organized systems for contract documentation and supports the contract preparation process.
- Tracks the status of subcontracts and purchase orders.
- Communicates basic insurance requirements and terminology to subcontractors and insurance agents.
- Requests renewal insurance documentation and provides input to General Counsel on proposed changes in insurance collection practices. Participates in compliance decision-making regarding vendor payments.
- Uses Procore and associated AI tools to document and manage insurance compliance activities.
- Works collaboratively with team members and maintains a cooperative, solutions-oriented approach.
- Accepts direction from General Counsel and supports other duties as assigned.
Qualifications
- Bachelor's degree (B.A.) from a four-year college or university preferred in Risk Management, Insurance, Business, or Finance.
- Minimum of five to seven years of experience working in contract management to include drafting, revision, and negotiation of construction contracts and subcontracts, some legal department experience desirable.
- Basic understanding of contracts concepts is mandatory, and basic understanding of indemnification and insurance concepts is preferred.
- Viewpoint, Procore, and/or AIA Construction Software knowledge and a working understanding of commercial insurance common in the construction industry is preferred.
- Must have excellent phone etiquette and verbal communication skills and be able to speak effectively before groups of customers or employees of the organization.
- Ability to read and interpret documents; to write routine reports and correspondence including memos, emails, and other documents.
- Ability to communicate effectively and professionally with, and persuade customers and other stakeholders, by e-mail, telephone, and contract craftsmanship.
Required Work Hours
Monday through Friday, 8AM-5PM
Benefits
The position offers a competitive salary with a range between $75,000 to $80,000 per year, along with other benefits that will be discussed during the hiring process.
