Job Title: Administrative Assistant

Location: Columbia, MD

The Role:

Ultimate Staffing is looking for an Administrative Assistant for a TEMP-TO-HIRE role in the Columbia MD area. This is a full-time position and it is fully in office. Hours will be 8am-5pm Monday through Friday. The pay will depend on experience and will range from $20-25 per hour.

Key Responsibilities:

  • Operations Support
    • Manage calendars, coordinate meetings, and schedule travel with foresight and flexibility.
    • Prepare reports, internal memos, agendas, and presentations.
    • Track project deadlines, follow up on outstanding items, and maintain efficient documentation.
  • Communication Hub
    • Act as a liaison between departments, ensuring messages do not get lost in the shuffle.
    • Draft polished internal communications and assist with external correspondence.
  • Culture & Team Engagement
    • Coordinate team events, birthday celebrations, and recognition initiatives.
    • Help onboard new hires with a warm welcome and a well-stocked desk.
    • Maintain a positive, inclusive office environment (even virtually).
  • Office & Tech Coordination
    • Keep the (virtual and physical) office stocked, organized, and functioning.
    • Troubleshoot minor tech issues and liaise with IT when needed.
    • Manage vendor relationships and office supply orders.

What We're Looking For:

  • 2+ years of experience in an administrative or coordination role
  • Exceptional written and verbal communication skills
  • Proficiency in Microsoft Office, Google Workspace, and project management tools (like Asana, Trello, or Notion)
  • High emotional intelligence and a friendly, can-do attitude
  • Ability to juggle multiple priorities with grace and precision
  • A strong sense of discretion and trustworthiness
