Job Description

Summary:

Provide administrative and client support in a fast-paced counseling environment. Responsible for managing appointment scheduling, client communication, event coordination, and general office operations to ensure a seamless experience for clients and staff.

Key Responsibilities:

  • Schedule and confirm client appointments via phone, email, and Zoom.
  • Greet clients upon arrival and ensure files and materials are prepared for new and returning appointments.
  • Answer incoming inquiries regarding services, scheduling, speaking engagements, and intellectual property.
  • Register participants for events, and manage logistics related to client-facing materials.
  • Act as a liaison between clients and a team of 18 counselors, communicating needs, concerns, and scheduling changes.
  • Collaborate with the Accounts Manager on billing, scholarship applications, and discount programs.
  • Manage inventory, order office supplies, and support bookstore operations.
  • Provide administrative assistance to leadership, including the Clinical Director, Owner, and Administrator.
  • Assist with website content updates, basic IT support, and the creation of PowerPoint presentations for staff.
  • Support podcast production and remain knowledgeable about company books and materials to assist clients effectively.

Qualifications:

  • Bachelor's Degree preferred.
  • Prior administrative experience required; experience in a counseling or clinical setting is a plus.
  • Proficient in Microsoft Office 365 (Word, Excel, PowerPoint).
  • Strong phone etiquette with compassionate and professional communication skills.
  • Ability to work collaboratively with clients, therapists, and internal teams.
  • Passionate about supporting mental health and committed to client care and confidentiality.

Additional Info:

  • Pay range: $23-25/hr
  • Schedule: M-F 8:30am to 4:30pm
  • Location: In Office, Edina
