Job Summary:

We are seeking a highly organized and detail-oriented Administrative Assistant to support daily office operations and ensure efficient administrative functions. The ideal candidate will be proactive, professional, and capable of managing multiple tasks with a high level of accuracy and confidentiality.

Key Responsibilities:

  • Answer and direct phone calls, emails, and other correspondence
  • Schedule appointments, meetings, and maintain calendars
  • Prepare reports, memos, and other documents as needed
  • Maintain organized filing systems, both digital and physical
  • Order office supplies and manage inventory
  • Assist with data entry and database management
  • Coordinate travel arrangements and accommodations
  • Support team members and executives with various administrative tasks
  • Handle confidential information with discretion
  • Greet and assist visitors in a professional manner

Qualifications:

  • Proven experience as an administrative assistant or in a similar role
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Strong organizational and time-management skills
  • Excellent written and verbal communication
  • Ability to multitask and prioritize daily workload
  • Professional demeanor and positive attitude

Preferred Skills:

  • Familiarity with office management tools (e.g., QuickBooks, CRM systems)
  • Experience in calendar management and meeting coordination
  • Basic bookkeeping knowledge
