Job Title: Sales Operations Coordinator / Order Management Specialist

Job Description:

We are seeking a detail-oriented and customer-focused Sales Operations Coordinator to support the order processing and sales support functions in a contract manufacturing environment. This role involves managing customer orders from quote to fulfillment while ensuring accuracy, compliance, and excellent service throughout the process.

Key Responsibilities:

  • Process and enter customer orders, including generation of quotes, in alignment with manufacturing availability and company policies.

  • Review and manage customer order backlog, addressing credit holds, down payment requirements, and resolving any discrepancies in purchase orders.

  • Act as a key point of contact for customers via phone, email, and fax, ensuring timely and professional communication.

  • Monitor and support the closure of opportunities in Salesforce, ensuring alignment between sales data and order processing.

  • Ensure sales opportunities are properly linked to orders, including processing of commission splits and required approvals.

  • Collaborate closely with Regional Sales Managers, independent representatives, and internal departments to facilitate order accuracy and resolution of issues.

  • Maintain a high level of product knowledge, including features and functions, to support accurate order entry and customer interactions.

  • Attend backlog review and system kick-off meetings as required.

  • Adhere to internal controls and approval processes related to order discounts, demo orders, returns, exchanges, and cancellations.

  • Achieve and maintain an order entry accuracy rate of 95% or higher.

  • Process and respond to sales quote requests within the same business day.

  • Drive consumable product sales to meet assigned targets.

  • Support cross-functional teams with administrative and operational tasks as needed.

Qualifications:

  • Strong attention to detail and organizational skills.

  • Excellent communication and interpersonal skills.

  • Proficiency in order management systems and CRM tools (Salesforce experience preferred).

  • Ability to work collaboratively in a fast-paced environment.

  • Prior experience in a manufacturing or technical product sales environment is highly desirable.
