Job Description

Our customer is a Florida based, non-profit organization whose mission is to support families by empowering them and enriching their lives through education, advocacy, and resources that improve the quality of life. They are seeking a highly organized and proactive Executive Assistant to provide top-tier administrative support to the CEO and Director of Programs. The ideal candidate will be a self-starter with exceptional communication skills and the ability to work across multiple departments. This role requires initiative, adaptability, and a commitment to the organization's mission of serving families.

Key Responsibilities:

  • Manage and maintain the CEO's and Director of Programs' calendars, including scheduling meetings, appointments, and travel, and email.
  • Screen and prioritize phone calls, emails, and other correspondence.
  • Prepare meeting agendas, take minutes, and follow up on action items
  • Coordinate cross-departmental projects and ensure tasks are completed on time and within scope.
  • Act as a liaison between executive leadership and various internal teams, ensuring clear and efficient communication.
  • Communicate effectively with stakeholders, including board members, donors, partner organizations, and staff.
  • Maintain and update contact databases, distribution lists, and organization charts.
  • Proactively identify process improvements to enhance efficiency and effectiveness in the executive office.
  • Maintain confidential files and records, ensuring data privacy and compliance.
  • Assist with event planning, special projects, and other duties as assigned.

Qualifications:

  • Minimum of 4 years of administrative or executive assistant experience, preferably in a nonprofit or mission-driven organization.
  • Demonstrated ability to manage multiple projects with competing deadlines.
  • Strong organizational skills with attention to detail and accuracy.
  • Excellent written and verbal communication skills.
  • Ability to work both independently and collaboratively in a fast-paced environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and virtual collaboration tools (e.g., Zoom, Teams).
  • High level of discretion in handling confidential information.

Schedule: 8:30am to 4:30pm, Monday to Thursday. Occasional Fridays as needed

Location: Clearwater, FL 33756- This is a hybrid position, 2 days in the office & 2 days remote.
