Position Title: Administrative Coordinator

Location: Palm Beach Gardens, FL

Schedule: Monday-Thursday 8:30 AM-5:30 PM, Friday 8:30 AM-5:00 PM

Hourly Rate: $20-$21/hour

About the Role:

We are seeking a highly organized and detail-oriented Administrative Coordinator to provide essential support in a fast-paced financial environment. In this role, you'll assist leadership with key administrative tasks, manage department operations, and support financial advisors with various projects. This is an excellent opportunity for someone who is proactive, skilled in Excel and PowerPoint, and eager to contribute to a dynamic team.

Key Responsibilities:

  • Set up and maintain new accounts while processing daily updates and contributions.
  • Manage reallocation requests, model updates, and portfolio rebalances.
  • Provide top-notch customer service through inbound call support.
  • Prepare, scan, and transmit key documents.
  • Communicate professionally with advisors via email.
  • Create, review, and analyze reports to support operations.
  • Develop marketing materials for financial advisors and online platforms.
  • Assist with the management of 16 investment portfolios, including trading, model reviews, and audit reports.
  • Work closely with leadership to support daily department functions.

Qualifications:

  • Strong numerical aptitude and attention to detail.
  • Proficiency in Excel and PowerPoint (experience creating reports and presentations is essential).
  • Highly organized with the ability to prioritize tasks effectively.
  • Positive attitude, eagerness to learn, and coachable mindset.
  • A degree is not required, but a commitment to high-quality work is a must.
