Job Description
Our client in Westwood, NJ is looking for a temporary entry level and professional individual with some business, office and/or sales experience. This assignment will be for 3-4 months.
Focused and detail oriented individual able to prioritize tasks and assignments, shift gears between general office and support of various organizational business activities and departments, in a fast-paced environment. You are able to work in both a team environment and independently depending on the assignment. A reasonably tech savvy, self-starter capable of thinking critically and not afraid to ask clarifying questions in a professional manner. You are eager to learn new skills, learn about our business and step up to support and assist where ever and whenever possible. Actively participate in delivering on the Sonic mission of providing an outstanding customer experience.
Some of What You Will Do
- Reception duties which include, but are not limited to answering incoming calls, paging employees and transferring calls according to procedure, greeting potential visitors, interfacing with delivery people like USPS, UPS, FedEx and others.
- Open, sort and distribute incoming mail upon arrival in an organized and efficient manner. Stamp outgoing mail.
- Take weekly inventory of office supplies, UPS/FedEx/USPS supplies, and general maintenance supplies (including, but not limited to copy paper, pads, pens, paper towels, toilet paper, and kitchen supplies) to prevent being out of stock, ordering as needed from WB Mason, Uline, NEBS, UPS, FedEx, USPS, etc., and storing all office supplies properly within the office.
- Coordinate and process UPS/FedEx/USPS packages for office staff insuring that they are done prior to pick-up, mindful of cost and ensuring correct addresses for timely delivery to customers and potential customers with regard to samples and other materials. Review weekly UPS/FedEx bills that are applied to specific jobs.
- Communicating professionally at all levels, internally and externally, in a manner consistent with Sonic's image in the marketplace.
- Update lists - i.e. Kitchen Tasks, plant closings and Xmas list
- Track, manage and request Certificates of Insurance for Sonic suppliers.
- Prepare material/enrollment paperwork for various shows/reservations.
- Operate office machines including, but not limited to photocopiers and scanners, facsimile machines, voicemail systems, personal computers, calculators, headsets, etc.

What You Need
- Computer savvy and proficient with Microsoft Office applications (i.e. Word, Excel, and Outlook).
- Be detail oriented, capable of critical thinking and thorough.
- Able to prioritize and shift activities as the business activity demands.
- Able to follow instructions and direction
- Possess analytical and problem solving skills.
- Excellent oral and written communication skills with the ability to communicate at all levels.
- Must be a team player, able to work in a group and also able to work independently.
- Experience and/or familiarity with cloud and internet-based applications such as DocuSign, cloud-based ERP and others a plus.
- Experience with NetSuite a plus.
Pay Rate: $20-$22 an hour
Hours: Monday-Friday 8:30AM
