Our client, a local non-profit organization, is looking for an Office Assistant/Clerk to join their team in the West County area! The ideal candidate will be highly skilled in Customer Service, Office skills and maintain professionalism at all times.

Job Title: Office Assistant

Location: West St. Louis County- On-site Only

Status: Temp to Hire

Schedule: Mon - Fri, Days

Compensation: $20-23/hr based on experience

Overview of the Role:

The Office Assistant role revolves around providing administrative assistance to the Chief of Staff, supporting the Chairman/CEO and President/COO, and overseeing administrative operations at our St. Louis headquarters. This position offers a valuable opportunity to hone administrative skills within a dynamic nonprofit environment.

Key Responsibilities:

· Collaborate with the Chief of Staff to organize schedules, including arranging individual appointments, group meetings, and events, both internal and external.

· Manage logistics for Board Meetings and other gatherings, including printing and occasionally preparing materials and presentations.

· Aid in internal and external communications as required by the Chief of Staff.

· Assist executives with travel arrangements.

· Support the planning and execution of team-building activities and special events.

· Oversee office supplies inventory and ensure consistency across various locations.

· Maintain the physical office space in collaboration with property management, IT, and HR.

· Provide support to team members with various administrative tasks, such as mailings, gift orders, and procurement.

· Manage incoming calls and messages, as well as welcoming guests and handle deliveries at HQ.

· Maintain organized files on SharePoint.

Qualifications:

· Proficiency in Microsoft Office Suite (Outlook, Word, PowerPoint, Excel), with familiarity with Access or similar analytical tools being advantageous.

· Strong attention to detail and proofreading skills.

· Excellent interpersonal skills, with the ability to interact effectively with individuals at all organizational levels as well as external stakeholders.

· Ability to maintain confidentiality.

· Effective communication skills, both verbal and written.

· Strong organizational skills with the capacity to manage multiple tasks and interruptions.

· Familiarity with standard office equipment.

· Mission-oriented mindset.

Required Qualifications and Experience:

· High school diploma or equivalent required, Bachelor's Degree preferred.

· Proficiency in Microsoft Office Suite, SharePoint, and Zoom.

· Minimum of 2 years of administrative support experience, demonstrating strong organizational skills, attention to detail, and communication abilities.

· Flexibility and adaptability to evolving organizational needs.
