Job Description
The Manager, Mailroom & Materials is responsible for the daily operation and oversight of the Mailroom and Courier System on the Greenspring and Owings Mills' campuses to include locations at Owings Mills South, Owings Mills North and Owings Mills East. The Manager will provide daily instruction to the staff and participate in all aspects of processing mail and packages from receipt through pickup. In addition, the Manager will oversee all delivery routes and routinely refine for improved efficiency. This will include all loading docks, staff office moves, student room assignments, department location changes and the future addition of new buildings.Education/ExperienceBachelor's Degree is preferred but not required. Additionally, two years' experience in mail services, transportation, or customer service or equivalent combination of education and experience.Knowledge/Skills/Ability
- Knowledge of USPS policies and procedures
- Knowledge of policies and procedures of package delivery companies to include Amazon, UPS, FedEx, DHL
- Ability to provide exceptional customer service
- Organizational skills to receive, sort and distribute documents and packages
- Effective communication skills
- Ability to liaison with internal departments and external businesses
- Ability to drive an oversized vehicle
- Ability to supervise and train assigned staff

- Proficiency in Microsoft Office (Word, Excel, the Internet and E-mail)
- Proficiency with Qtrak delivery system a plus
- Proficiency with Pitney Bowes postage machine a plus
- Ability to travel between campuses and to USPS
- Ability to work evenings and weekends as needed
Physical RequirementsHeavy work: Must be capable of lifting 50 lbs. consistently and up to 75 lbs. on occasions. Lifting, pushing, pulling, bending, stooping, climbing, standing for extended periods of time, keyboarding, talking and hearing. Close visual acuity to perform an activity such as viewing a computer terminal and utilizing a handheld device for scanning purposes. Because of the nature of the position, employee will be expected to work additional hours, extended nights and weekends as necessary. The position is subject to both environmental conditions; activities occur inside and outside.Essential Functions
- Hire, supervise and train staff
- Oversee the daily pickup of mail from the USPS Owings Mills Post Office and the Stevenson Post Office. Coordinate the separation and distribution of all incoming and outgoing campus mail. Coordinate the daily receipt and distribution of all incoming packages. Arrange for the transportation of all mail and courier deliveries throughout all Stevenson locations and buildings.
- Oversee the receipt and processing of all packages delivered to the University. All faculty and staff packages will be recorded and distributed by Mailroom staff to various personnel and departments. Residential student packages are to be logged and notifications sent to the intended recipient for pickup.
- Oversee all mailroom reporting functions to track the speed, efficiency and cost of all incoming and outgoing campus mail. Continually monitor and improve the distribution systems for mail and packages to the residential community at the Owings Mills campus. Continually monitor and improve the courier delivery system that will effectively respond to the needs of the entire Stevenson community. Continually monitor and improve the package tracking system that audits the delivery of boxes on each campus.
- Oversee the Loading Dock and Central Receiving on the Owings Mills South, Owings Mills North and Greenspring campuses to effectively handle all deliveries to internal and external partners.
