Executive Assistant needed to support a Managing Partner for a World Class organization in Costa Mesa. This role is temp-hire and an IN OFFICE opportunity.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Assists Managing Partner with all administrative and executive assistant functions by performing the following duties.
Answers and screens phone calls and takes messages.
Troubleshoot, problem-solve and handle requests from corporate offices, philanthropic groups, community groups and vendors. Responds to all requests in a timely manner.
Read and route incoming mail, invitations, e-mail and faxes.
Compose and type correspondence and memos.
Maintain calendar and schedules appointments for Managing Partner.
Manage and clean up database, monitoring for duplicates, edits, etc.
Review and process donation requests. Mail and coordinate delivery as needed.
Process and route lease documents for Managing Partner's signature and return to Leasing Department.
Assist with all special events including table arrangements, attendee lists, donations, gift bags, etc.
Organize and schedule birthday and holiday gift buying and deliveries.
Assist Managing Partner in preparing for meetings, i.e., update agenda, calendar, project timelines, etc.
Research and schedule travel arrangements, including itinerary for flights, lodging, dining and meetings/appointments.
Handle other special projects as assigned.
QUALIFICATIONS:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The individual must be a motivated, self-starter who demonstrates strong initiative. Other qualities include creative thinker who can develop ideas and concepts on their own. Knowledge of philanthropic organizations and charitable giving a plus!
EXPERIENCE and EDUCATION
Bachelor's degree (B. A.) from four-year college or university preferred; and/or five-seven years related experience and training; or equivalent combination of education and experience.
