Front Desk Admin

Pay Rate: $22/hr

Schedule: Monday - Friday, 8 AM - 5 PM

Company Overview: At Ultimate Staffing, we pride ourselves on fostering a welcoming and efficient environment for both our team and clients. We are currently looking for a proactive Bilingual Front Desk Administrator to join our dynamic team and support our HR department.

Position Summary: As the Bilingual Front Desk Administrator, you will be the face of our organization, responsible for managing front desk operations, facilitating communication, and providing essential administrative support. This role requires someone who is detail-oriented, resourceful, and capable of handling various tasks simultaneously.

Key Responsibilities:

  • Front Desk Operations: Welcome and assist visitors, ensuring a positive first impression. Address inquiries and resolve issues independently before escalating to management.
  • Communication Management: Coordinate company-wide announcements and event notifications via email, maintaining professionalism and clarity in all written communications.
  • Scheduling Expertise: Organize and manage appointments on department leaders' calendars using MS Outlook, ensuring accuracy and attention to detail.
  • Event Planning Assistance: Support basic event planning activities, including budgeting and catering arrangements. Training will be provided to enhance your skills in this area.
  • Internal Liaison: Interact with staff across all levels, responding to emails and calls promptly (within 24 hours) and acting as a resource for HR-related questions.
  • Task Management: Prioritize tasks effectively in a fast-paced environment, demonstrating strong organizational skills and the ability to multitask.
  • HR Collaboration: Partner with the HR team to assist with various functions, including leave management, workers' compensation, and recruitment efforts.

Qualifications:

  • At least 1 year of administrative experience in an office setting.
  • Bilingual in Spanish and English, with strong written and verbal communication skills.
  • Proficient in MS Outlook and familiar with office software.
  • Detail-oriented with a proactive approach to problem-solving.
  • Ability to multitask and prioritize effectively in a dynamic environment.
