Job Description

I. PURPOSE OF THE JOB
Responsible for performing a wide variety of general office tasks and clerical work, of standard to intermediate difficulty, that provides support to the Program Management Department. The Program Management Clerk I will provide accurate and timely assistance with tasks that include but are not limited to: Data entry, preparation of paperwork, creating, handling and maintaining Work Orders, filing, record keeping, answering phones, scheduling appointments, and using Customer services skills for interacting with clients.
II. ESSENTIAL FUNCTIONS, RESPONSIBILITIES AND AUTHORITIES
    Create, distribute, maintain, and update project Work Orders and maintains grid sheets, kit lists, kit labels, and document requests where required.Assist with work order closing process by closing work, creating pick ticket, performing department quality review of paperwork, and filing closed works.Receive and review documents to ensure completeness for filing and recording.Ability to navigate, file, organize, retrieve, and maintain program management and sales folders to ensure accessibility of information, as needed.Perform general contract/purchase order review, e.g. customer information, part number and quantity confirmation, delivery address, delivery dates, etc., as directed.Follow a wide variety of detailed procedures and selects the appropriate method and/or make simple adaptations in order to complete assigned tasks in a timely and accurate fashion.Assist with entering part information, bill of materials, and work instruction templates in the Pentagon accounting system.Assist with repaired product Failure Reporting, Analysis, And Corrective Action System (FRACAS) reports on a monthly basis. Maintain and execute the customer satisfaction reporting process.Assist in contract administration to include contract review and review meeting.Comply with all safety policies, practices, and procedures. Report all unsafe activities to Manager and / or Human Resources.Develop a strong understanding of company policies and procedures.
III. OTHER DUTIES, RESPONSIBILITIES AND AUTHORITIES
    Assist in obtaining required information needed to ensure on-time delivery of products and services.Interact with other departments to interpret the required data needed for the creation of Work Orders, work instructions, and schedules.Advise engineering, production, and accounting department personnel of changes that affect the product or product delivery.Maintain and keep accurate files and records.Ensure information regarding pricing remains confidential and is shared only with designated staff members.Proactively participate in team efforts to achieve departmental and Company goals.Recommend improvements to processes or methods to accomplish work in the specified timelines in a more efficient manner.Assure adherence to company policies and strategies using the current records management systems.Assist with training others in the program management department in appropriate records management processes and procedures as required.Assist customers by phone and via email with miscellaneous inquires and/or transfer the call to higher-level program management personnel or department, as required.Other duties as assigned by other program management personnel and/or Senior Program Manager.
IV. KNOWLEDGE AND SKILLS
    Minimum HS Diploma or equivalent.Minimum one (1) year experience in manufacturing and customer service administrative duties. Attention to detail is a must.Must have the ability to learn and comprehend program management concepts, requirements, and tasks.Ability to operate basic office equipment such as photocopier, facsimile, scanner, multiline phone/voicemail system, computer, printer
