Administrative Assistant

Essential Duties and Responsibilities:

  • Welcome and greet visitors and guests, determine the purpose of their visit, and notify the appropriate personnel.
  • Answer company phones, identify the purpose of calls and callers' needs, and direct them to the relevant personnel or department. Maintain the phone system.
  • Set up conference rooms for meetings, ensuring all necessary equipment and materials are prepared.
  • Receive, sort, and distribute mail. Apply coding stamps as needed, assist with outgoing mail, and keep the postage meter updated.
  • Prepare labels for overnight shipping.
  • Manage office supplies by maintaining inventory, placing orders, and receiving shipments, including handling kitchen supplies such as water bottles.
  • Assist the accounting department by matching vendor and supplier invoices with packing slips and performing data entry for accounts payable.
  • Oversee the maintenance and replacement of iPads and cell phones for employees.
  • Provide support to other team members as required and perform additional clerical and administrative duties as needed.

Hours: Monday-Friday, 8:00 AM - 5:00 PM with a 1-hour lunch break

Pay: $19.23 - $21.60 per hour
