Job Description

SUMMARY
Performs administrative and technical support duties for the Human Resources department. 

ESSENTIAL DUTIES AND RESPONSIBILITIES  The following duties are standard for this position.  The omission of specific statements of duties does not exclude them from the classification if the work is similar, related, or a logical assignment for this classification.

Prepares and processes all Personnel Action Forms. Responsible for employee information data entry to all systems and files.

Assists with processes for attendance, performance evaluations, leave status, expiring credentials, and milestone anniversaries and maintaining database and reporting on same. Responsible for communication/notices to departments and employees when action is required on such items.

Assists with maintaining and monitoring customer comment database, including daily assignment of comments to appropriate departments for investigation; assisting with research and investigation of comments as needed and preparation and distribution of daily report to management. 

Assists staff with witnessing and documenting various grievance discipline meetings with bargaining unit employees. Transcribes the meeting for follow up research and response.  Assists with coordination of meetings. 

Responds to records requests and verifications of employment. Responds to verification of employment inquiries by disclosing approved information upon receipt of signed release.

Coordinates regular employee events such as Employee of the Month and other programs. Coordinates annual employee awards for Operations and Maintenance Departments by reviewing and verifying employee records for Safe Driving, Attendance, Discipline and Milestone Anniversary Information; maintaining database for incentive program; planning annual awards ceremony; and coordinating employee of the year rewards.

Assists with monthly bill reconciliations and department budget tracking. Assists with preparation and maintenance of requisitions, purchase orders, invoices and check requests.

Monitors and maintains the department's inventory to include ordering and organization of employee service awards.

Monitors and maintains the department's EDMS and scanning protocols.

Monitors and maintains records related to the Agency's policies and employee communications.

Provides administrative support and performs basic office duties, such as scheduling meetings, maintaining staff calendars, screening phones calls and handling general inquiries, typing various letters, reports, and memoranda, copying, filing, and ordering supplies. May assist with coordinating department meetings, preparation of meeting agendas and taking notes/minutes for certain meetings.

Monitors and maintains the Agency's meeting room calendars. May also coordinate external meetings as needed.

Assists staff with and performs audits of data entry of information for new and existing personnel, such as address, tax withholding, and contact information changes.  This also includes updating current employee information in regard service award eligibility, performance evaluations, training, etc. 

Assists the Designated Employer Representative (DER) with administrative support of the Agency's Drug & Alcohol program.

Performs administrative support duties for HR Manager and assists with administrative support related to discipline, benefits and recruitment.

May serve as Deputy Clerk of the Board and assists with board packet preparation/mail-out, meeting setup, and any requests by board members when Clerk of the Board is absent.

Performs all Receptionist duties when providing coverage. 

Performs all HR Clerk duties when providing coverage.
