Position Summary: The Office Administrator will be responsible for managing office operations and providing administrative support to ensure efficient functioning. This role involves handling a range of administrative tasks, maintaining office supplies, coordinating office activities, and providing support to staff and visitors.

Key Responsibilities:

  • Office Management:

    • Oversee daily office operations to ensure a productive work environment.
    • Manage office supplies inventory and place orders as needed.
    • Coordinate office maintenance and repairs with external vendors.
  • Administrative Support:

    • Provide administrative support to executives and staff, including scheduling meetings, handling correspondence, and preparing reports.
    • Manage and organize electronic and paper files, ensuring proper documentation and easy retrieval.
    • Assist with the preparation and distribution of internal and external communications.
  • Reception Duties:

    • Greet and assist visitors in a professional and courteous manner.
    • Handle incoming phone calls, emails, and mail, and route them to the appropriate individuals.
    • Manage appointment scheduling and coordinate conference room bookings.
  • Event Coordination:

    • Assist in organizing company events, meetings, and conferences, including logistics and catering arrangements.
    • Coordinate travel arrangements for staff, including booking flights and accommodations.
  • Financial Administration:

    • Process invoices and manage office expenses, ensuring accuracy and adherence to budget.
    • Assist with basic bookkeeping tasks and liaise with the finance department as needed.

Qualifications:

  • Education: High school diploma or equivalent required; associate's degree or higher in business administration or related field preferred.
  • Experience: Previous experience as an office administrator or in a similar administrative role preferred.
