Job Title: Property Coordinator.

Salary: $25-$28/hour.

Location: Vancouver

Qualifications:

· Strong verbal and written communication skills.

· Intermediate proficiency in Microsoft Office applications (Word, Excel, Outlook).

· Familiarity with internal server sites, internet navigation, and basic computer network concepts.

· Exceptional attention to detail.

· Adaptable and flexible in a dynamic work environment.

· Effective under deadlines.

· Independent problem-solving and project management capabilities.

· Ability to multitask and prioritize in a fast-paced setting.

· Preferred experience in Office Management, Property Management, and Accounting.

Computer Skills Required:

· Proficient in Microsoft Word, Excel, and Outlook.

· Mail merge proficiency in MS Word.

· Comfortable with MS Windows environment and understanding of computer networks.

Responsibilities:

· Perform administrative tasks and assigned duties.

· Organize and maintain file systems, handle correspondence, and manage records.

· Compose routine correspondence and conduct mail merges.

· Coordinate travel schedules and reservations.

· Organize and facilitate meetings, prepare agendas, reserve facilities, and document meeting minutes.

· Handle copying of correspondence and printed materials.

· Process and code vendor invoices for portfolio properties.

· Manage incoming calls, resolving or directing tenant issues promptly.

· Scan and organize leases and important documents into the company server.

· Handle tenant work order requests, coordinating with vendors.

· Manage janitorial complaints, informing property manager as necessary.

· Update property management directories and contacts.

· Maintain and update tenant and vendor insurance certificates.

· Create and distribute necessary tenant memos.

· Organize and update property files, both vendor and tenant.

· Maintain and create tenant signage if required.

· Research questionable invoices as needed.

· Maintain and update physical and electronic tenant handbooks.

· Assist with new tenant move-ins, including coordination with on-site personnel.

· Manage property key card access systems.

· Process CapEx and OpEx Authorization Forms as requested.

· Assist with office equipment needs/requests for on-site personnel.

· Update Janitorial Square Footage reports for PMB RES & PMB Portfolio.

Physical Demands:

· Frequent sitting, talking, and listening.

· Occasional standing, walking, and use of hands for typing, operating business machines, and phone use.
