Receptionist

On-site in Pasadena, CA

$17-$22 per hour

The Receptionist is the first point of contact for clients, visitors, and employees, responsible for creating a welcoming and professional environment. This role involves managing the front desk, handling incoming calls and correspondence, and providing administrative support to ensure the smooth operation of the office.

Key Responsibilities:

  1. Front Desk Management:

    • Greet and welcome visitors with a positive, helpful attitude.
    • Answer, screen, and forward incoming phone calls.
    • Maintain the reception area, keeping it clean and organized.
  2. Visitor and Client Assistance:

    • Assist visitors by directing them to appropriate personnel or departments.
    • Provide basic information in response to inquiries about the organization, such as location, services, and contact details.
    • Manage visitor logbook and issue visitor badges as needed.
  3. Administrative Support:

    • Receive, sort, and distribute daily mail and deliveries.
    • Prepare and send outgoing mail and packages.
    • Perform clerical duties such as filing, photocopying, and faxing.
  4. Scheduling and Coordination:

    • Schedule and coordinate appointments, meetings, and conference rooms.
    • Maintain and update appointment calendars.
    • Assist in the planning and coordination of company events and meetings.
  5. Communication:

    • Communicate effectively with employees, clients, and visitors.
    • Relay messages accurately and promptly to appropriate individuals.
    • Handle sensitive information with confidentiality and discretion.
  6. Office Supply Management:

    • Monitor and maintain office supplies inventory.
    • Order office supplies and ensure the reception area is well-stocked with necessary materials.
  7. Technology and Equipment:

    • Operate standard office equipment such as computers, printers, and telephones.
    • Troubleshoot basic technical issues and coordinate with IT support as needed.
  8. Customer Service:

    • Provide exceptional customer service to clients and visitors.
    • Address and resolve any complaints or issues in a professional and courteous manner.

Qualifications:

  • High school diploma or equivalent; associate's or bachelor's degree preferred.
  • Previous experience as a receptionist or in a related field is a plus.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong verbal and written communication skills.
  • Excellent organizational and multitasking abilities.
  • Friendly, professional demeanor with strong interpersonal skills.
  • Ability to work independently and as part of a team.
  • Familiarity with office equipment and basic technical troubleshooting.
