Our American multinational entertainment and media client in Burbank CA is seeking a hybrid HR Coordinator.

The HR Business Partner team is looking for an HR Coordinator to assist with our transition to Workday. This role will report to the Senior Manager, HR Business Partner for Newsgathering and support our data integrity efforts, reporting and freelance hiring process.

The ideal candidate will have entry-level HR experience and have foundational HR knowledge including: FLSA law and exempt versus non-exempt classifications, employee hiring processes (I.e. onboarding paperwork and I9), time and attendance systems, and handling sensitive data. This role is data-driven and requires a high degree of accuracy and organization.

Responsibilities:

  • Supporting onboarding process for freelancers (daily, temp/recurring and part-time)
  • Following up with employees on any missing information / employee point of contact for any onboarding concerns
  • Working with leaders to initiate onboarding process in WD and following up as needed w/GHRO
  • Working with leaders to ensure timesheets are updated once onboarded
  • Following up with payroll to ensure payment is issued
  • Tracking and reporting payment status
  • Help pull together comprehensive reference guides for freelancer onboarding, including job profiles, job levels and pay rates, to support freelance requestors and leaders
  • Supporting HRBPs with other WD transactions requiring partnership and follow up with org management, GHRO and Talent Acquisition:
  • Submitting and tracking org structure/reporting changes
  • Follow-up and tracking status of employee updates to ensure timely payroll
  • E.g. promotions, title and/or salary adjustments
  • Helping to resolve workflow issues with expenses
  • Assist with staff conversion project; tracking the status of conversions, following up with HRBPs on reporting structure changes; collecting and submitting information to recruiting and/or org management for employees being converted to staff roles.
  • Escalate workday issues as they arise
  • Maintain a tracker for known issues and provide updates to HRBPs
