Administrative Assistant

Contract: 13 weeks
Pay: Up to $23.15 an hour | W2
Location: Onsite - Portland, OR

Administrative Support for Admissions
This position will support the Associate Dean for Student Admissions to coordinate, plan, implement, promote, collect and manage data for the admissions department to attract a robust and diverse pool of applicants for future enrollment. This role will work closely with the Associate Dean, the members of the admissions team to complete their duties. This position reports to the Associate Dean of Admissions.

Brief Description of Position:
The support role is responsible for managing the administrative duties for the Associate Dean of admissions. The coordinator will build and maintain a trusted relationship with the other Admissions department members, departments and divisions across OHSU, prospective students, current students, faculty, and staff.

Primary responsibilities
¦ Manage the calendar, make appointments, and travel arrangements and reimbursements for the Associate Dean of Admissions
¦ Attend departmental meetings and record and distribute minutes by the end of the day
¦ Help Admissions team members who are arranging tours and open house of the dental school
¦ Assist with interview days and Admissions meetings
¦ Manage event locations and necessary housing accommodations
¦ Purchase supplies and refreshments
¦ Coordinate and manage event schedules

¦ Assist admissions team with application processing, communications with applicants, and fee collection
¦ Help manage departmental email inquiries

* Ability to work occasional evenings and weekends and manage a flexible schedule typical 40-hour workweek

Required Qualifications:
* Some college coursework in communications, education, student services or equivalent.
* Work experience and enthusiasm for working with college and health professions students
* Experience with multiple operating systems (i.e., Microsoft Windows OS and macOS)
* Experience with supported software applications, including Microsoft Office, email clients, web browsers, web development applications
* Experience with academic health centers

Preferred Qualifications:
* Bachelor's degree or above in communications, student admissions, student services, or equivalent
