Job Description

Job Duties/Description:

  • Welcome and assist visitors, clients, and callers.
  • Manage mail, email, voicemail, and package handling (incoming and outgoing).
  • Coordinate the printing, binding, and delivery of project documents.
  • Maintain tracking spreadsheets for shipping and courier services to ensure accurate billing.
  • Ensure premises are tidy and supplies are well-organized; keep coffee bars, food, and beverage coolers stocked.
  • Monitor and manage monthly office supply expenditures to stay within budget.
  • Schedule and manage appointments, meetings, lunches, and conference room bookings.
  • Organize staff events and support client event preparations as needed.
  • Arrange office lunch and learn sessions with vendors, including coordinating food, delivery, tracking dietary restrictions, setting up audio/visual needs, documenting attendance, and cleaning up meeting spaces.
  • Report daily balance checks to relevant parties.
  • Oversee maintenance of office facilities and equipment.
  • Provide administrative support to the leadership team as required.
  • Assist in editing the internal monthly newsletter(s).

Requirements:

  • Minimum of 1 year of office administrative experience
  • Proficiency in MS Office is required.
  • Experience with Adobe Suite (e.g., Illustrator or Photoshop) is a plus.

  • Pay range: $21-26/hr
  • Schedule: M-F 8a-5p
  • Location: In office
  • Type: Direct Hire
