Job Description

Job Duties:

  • Organize and maintain the electronic filing system and review processes for improvements.
  • Retrieve information from records, emails, minutes, documents, or systems upon request and prepare written summaries of the information/data as needed.
  • Plan and coordinate firm-wide events, including site searches, logistics, event setup, and coordination with the internal team (Board of Directors, Director of Operations, Office Managers, and OMPs).
  • Assist the tax and accounting team during busy seasons with tasks such as billing assistance, scanning, answering phones.
  • Order various supplies for individual offices and the corporate department.
  • Prepare, process, and distribute monthly engagement letters.
  • Compile agendas, training documents, and schedules for internal training, lunch and learns, and firm-wide meetings.
  • Complete various accounting-related tasks, such as entering client expenses, compiling monthly financial reports, calculating PTO hours, and compiling reports for annual reviews.
  • Attend committee meetings, record minutes, and distribute them to staff.
  • Prepare reports for senior management.
  • Assist with marketing tasks within the firm.
  • Pull information and prepare reports from systems such as Practice Engine, Paylocity, and Excel.

Requirements:

  • 2 or more years of administrative or related experience.
  • Ability to meet deadlines in a fast-paced environment.
  • Proficiency in Microsoft Outlook, Word, PowerPoint, and Excel.
  • Strong communication skills for working with all levels of the organization.
  • Demonstrated analytical and problem-solving skills.
  • Customer-service orientation, with attributes such as proactivity, observance, knowledgeability, and reliability.
  • Ability to handle sensitive information with discretion and professionalism.

Additional Info:

  • Pay range: $25-$29/hr - Depending on experience
  • Schedule: 8 AM - 5 PM Monday-Friday
  • Location: 100% In Office
