Job Description

Ultimate Staffing is seeking a highly organized HR/Payroll Coordinator to ensure accurate and timely payroll processing while maintaining up-to-date employee records across multiple systems. Additional responsibilities include managing employee onboarding/offboarding and assisting with employee policy updates.

Key Responsibilities:

  • Maintain and update the payroll system to ensure all changes are current.
  • Set up new employees and update existing employees' payroll files, including earnings, deductions, departments, and PTO.
  • Review timecards for accuracy and submit accurate bi-weekly payroll.
  • Produce and review payroll reports for accuracy following submission.
  • Process timely 401k and HSA payments.
  • Meet with new employees to facilitate onboarding.
  • Coordinate training for all employees, supervisors, and managers, maintaining training records.
  • Prepare termination packets and ensure accurate and timely processing of termination payroll and follow-up tasks.
  • Help create and maintain employee policies and procedures.
  • Stay informed on HR/employment regulations and propose necessary changes for compliance.


  • 3-5 years of experience processing payroll and being compliant with HR policies and procedures.
  • Experience with Paychex or similar payroll software.
  • Ability to handle sensitive information with integrity, confidentiality, and discretion.
  • Strong communication skills, both verbal and written.
  • Proficiency in using multiple HR-related systems and software.
