Position Title: Administrative Assistant

Work Schedule/ Location: Fully on site in Pleasanton, CA

Hours: M-F 8:00 AM - 5:00 PM

Salary: $27- $32/ hour

Our Administrative Assistants are the first point of contact for our clients and play a crucial role in the day-to-day operations of our firm. This position requires a highly organized, reliable, and professional individual who is capable of managing multiple tasks efficiently while maintaining the highest standards of customer service.

Key Responsibilities:

  • Greet clients and visitors with a positive, helpful attitude, ensuring a welcoming environment.
  • Handle incoming calls and emails, providing information, taking messages, or redirecting queries to appropriate departments.
  • Prepare and manage correspondence, reports, and documents related to tax preparation and other accounting services.
  • Maintain filing systems, both electronic and physical, ensuring confidentiality and easy access to documents.
  • Assist in the preparation of client tax documents and forms for meetings and submissions.
  • Assist with scheduling appointments, managing calendars, and coordinating meeting logistics.
  • Perform other administrative tasks as needed to support the team and ensure efficient office operations.

Required Qualifications:

  • 2-3 years of experience as a Front Desk Representative, Administrative Assistant, or similar role, preferably within an accounting firm or financial services environment.
  • Experience with tax & accounting software tools & suites (such as CCH Axcess and Thomson Reuters Netsuite CS)
  • Proficiency in Microsoft Office Suite
