Ultimate Staffing is looking for a Payroll Specialist to support our client in Sunnyvale, CA
The Role: The Payroll Specialist is a critical role within our Human Resource team and is responsible for facilitating Payroll processes for all employees both at HQ Sunnyvale and throughout the US. Responsibilities include payroll processing, data entry, reporting, maintenance within ADP and auditing any related payroll actions, that may include deduction, taxation and pay proration calculations as they are applied within the ADP payroll system.
MAJOR DUTIES AND RESPONSIBILITIES: Payroll
Process semi-monthly payroll in ADP Workforce Now; includes incorporating all data from employee
timecards, data input, changes in employment status, salaries, deductions and any mandatory tax deductions.
Reconciliation of payroll prior to transmission and validate confirmed reports. Balance ADP payroll input per each
pay period against payroll data per Finance's payroll balance sheet.
Coordinate with Finance team on reconciliation of general ledger about payroll transactions.
Maintain and document all payroll records.
Process and create reports from the ADP Workforce Now system as needed by various parties in the Company
Document and update payroll administration procedures and processes.
Process and monitor garnishment orders and other issues that impact payroll.
Manage workflow to ensure all payroll transactions are processed accurately and timely.
Understand proper taxation of employer paid benefits and employee equity transactions.
Execute time and attendance processing and interface with payroll.
Process accurate and timely quarterly and year-end tax reporting including accuracy of W-2s.
Verify and maintain employee PTO.
Develop internal controls to ensure the quality and efficiency of all payroll functions and regulatory compliance.
Communicate related payroll procedures with company leadership and field offices.
Management of all state registration and taxation requirements per each applicable state.
Manage recording of equity transactions within payroll as per each state requirement.
Process manual checks.
Process last payments for termination (ie: last checks, PTO payout, severance if applicable).
Respond to employee inquiries regarding payroll issues, concerns and ADP system access.
Conduct audits of payroll and recommend corrective action.
Manage earnings and deduction codes to assure accuracy.
Administer and support worker's compensation audit with Benefits and Finance.
Support compliance-related projects and 401K audit.
Respond to auditor information and documentation requests.
Maintain employee ADP and on line files / records. Assure integrity of payroll related data.
Audit ADP onboarding information of new hires.
Partner with Compensation in preparing of the payments for annual or mid- year compensation review process and
Partner with HR Systems Manager in the implementation and full usage of the ADP Workforce Now.
Bachelor's degree in human resources (preferred) or related field and/or equivalent experience.
Minimum of 6-8 years HR / Payroll experience working within ADP Workforce Now system.
Advance experience in working with ADP Workforce Now system that includes experience in all aspects of the
Payroll module and Time and Attendance.
Expert computer skills, including Excel, Word, and Outlook.
Possess strong analytical skills and exceptional attention to detail.
Possess advanced problem-solving skills.
