Job Description


  • At the direction of conference staff leads, prepare all industry and regulatory speaker invitation and confirmation letters 
  •  Communicate directly with speakers and conference leaders to obtain necessary deliverables (i.e. bios, presentation, travel needs, contact information and photo) 
  • Create and maintain electronic files and records including speaker deliverables tracking sheets for pre-conference and on-site coordination, speaker invitation and confirmation letters, speaker agreements, bios, speaker photos, presentation abstracts, and presentations 
  • Identifies and recommends process improvements with the approval of the Training & Development Manager 
  • Create speaker deliverables tracking sheets for ongoing speaker coordination and on-site registration and presentation processing 
  • Coordinate packing, unpacking, shipping, and distribution of Continuing Education materials 
  • Manage presentations and related materials 
  • Coordinate all related functions to ensure projects timelines and goals are met. 
  • While working with volunteers, discern and bring any situations that appear to be problematic to the attention of the Continuing Education staff team  
  • Work with the Member Services department on speaker registration coordination 
  • 3 years of related experience in the coordination and management of training activities; Bachelor's degree a plus      
  • Ability to foresee upcoming issues and problems and suggest solutions           
  • Ability to prioritize multiple projects and competing deadlines    
  • Experience in meeting management tools (Zoom, GoToMeeting, Skype for Business, etc.)      
  • Excellent organizational skills and excellent written and oral communication skills    
  • Proficient with Microsoft Office suite, especially MS PowerPoint, Word, and Excel
