Job Description

Position Title: Education Administrative Assistant

Schedule: M-F 8am-4:30pm

Location: In-Office

Pay: $21-$23/hour

Job Duties/Description:

  • Review and verify completeness of applications
  • Coordinate application processing, including sending applications for payment and review
  • Send approval letters and confirm receipts of documents
  • Compile sign-in sheets and input data into Global Search
  • Maintain a spreadsheet of Continuing Education Credit (CEC) courses and providers
  • Assist in drafting and sending invite letters and other correspondence, following up as necessary
  • Enter new courses into iMIS database as required
  • Gather handouts from faculty and ensure they are posted on the website
  • Assist in scheduling recordings of educational sessions if necessary
  • Process evaluations, correspondence, and prepare thank-you letters, following up as needed
  • Obtain necessary forms from presenters
  • Prepare webinar scripts and course asset forms
  • Source and organize speaker photos
  • Review and test webinars before they go live, ensuring accuracy of content
  • Build AIKEN quizzes for educational purposes
  • Prepare handouts from instructor's PowerPoint presentations
  • Send monthly webinar emails and maintain membership lists
  • Review presenter PowerPoint slides for compatibility with webinar platform
  • Score various educational assessments such as paper-based tests and certificates
  • Verify certifications as needed

Requirements:

  • Proficiency with Microsoft Office Suite: Word, Excel, Access, PowerPoint, Outlook.
  • Minimum of two years administrative/clerical experience
  • Detail-oriented with strong organizational skills
  • Excellent written and verbal communication skills
  • Effective time management and ability to prioritize tasks
  • High School Diploma; Post-secondary education preferred
