Well known organization in Costa Mesa is looking for an Administrative Assistant to the Executive Marketing Director and Team. 

Duties and responsibilities:

Maintains Executive Director's heavy calendar, schedules all appointments and ensures Executive Director adheres to calendar and scheduled meetings.

Prepares correspondence, reports and memos with extreme attention to detail and accuracy.

Prepares all travel arrangements, including airfare, hotel, car service, etc.

Assembles receipts and prepares monthly expense reports.

Schedules and attends monthly retailer board and luxury council meetings and quarterly retailer association meetings.   Takes meeting minutes as necessary. Arranges catering needs as necessary.

Manages filing system on a weekly basis and creates new files as needed.

Interacts and effectively manages requests from retailers, vendors and internal departments. 

Reviews, copies and codes invoices for Executive Directors approval.  Tracks line items from monthly financial statement.

Ability to handle multiple projects and stay highly organized.

Assists Marketing Department personnel with special projects as needed.

Maintains confidentiality of all data handled.

Additional requirements:
Bachelor's degree (B. A.) from four-year college or university preferred; and two-three years related experience and/or training; or equivalent combination of education and experience.
