Job Description

Duties:

Answer and direct incoming calls from a multi-line telephone system to appropriate individuals and takes accurate messages in an efficient manner
Greet incoming clients, visitors, and employees by name and direct them to the appropriate party or communicate delay in a professional manner
Conference room(s) meeting preparation and monitoring for guests' needs
Ensuring that clients meals are ordered in a timely manner when needed and served in a presentable manner
Sort, screen and distribute incoming mail and faxes to recipients upon receipt
Process outgoing mail, FedEx, couriers, & deliveries
Operate and maintain copier machines/related office equipment; placing service and supply calls when needed and loading all paper trays before leaving
Maintain vendor relationships and help schedule services as needed
Provide clerical support as needed (i.e. copying, schedule meetings, filing, data entry, document edits and revisions, creating labels, etc.)
Coordinates and makes all travel arrangements for office
Preparation of expense reports as needed
Maintain inventory of office supplies and process orders
Provide assistance with conferences and internal group events
Maintain vehicle mileage log on a monthly basis and assist with scheduling regular vehicle maintenance
General office upkeep; ensuring all workspaces are kept in a clean and orderly fashion
Ensure that there is fresh coffee available at all times and that coffee pots are prepared for the morning along with maintaining a clean kitchen at all times
Ensuring that fresh flowers in the office are maintained and replaced when needed
Be responsible for birthday & anniversary recognitions and organizing the end of month birthday celebrations
Schedule monthly educational lunch and learns with architectural representatives


Qualifications:

Must possess a professional demeanor, outstanding work ethic, and obsession with client service
Positive attitude with a 'whatever it takes' mentality
Dependable, friendly, and outgoing with a professional appearance
Must have experience with Microsoft Office Suite (Excel, Word and Outlook)
Ability to multi-task and prioritize
