Job Description

Our Client provides professional association management services to communities throughout Central Texas. We call Texas our home and we take care of our neighbors. We also pride ourselves with having well trained and experienced community property managers and support personnel. We are currently searching for an experienced Community Manager (CM) to manage a portfolio of community associations that may include condominiums and single-family homes.

The CM provides oversite to the entire operation that is the community. This includes both operationally and administratively. The CM takes all reasonable actions necessary to ensure that both the operational and administrative needs of the community are met in a timely and consistent manner as outlined by the Board of Directors (BOD) and senior management of Preferred Association Management Company.

The CM is responsible for seeking and attending educational opportunities, ensuring he/she maintains a current and extensive knowledgeable of applicable: laws, municipal requirements, and insurance and general best business practices. Preferred Association Management Company supports continuing education through a training and education policy that pertains to the industry.

Key responsibilities include, but are not limited to:

BOD and Annual Meetings

  • Create meeting agenda
  • Prepare meeting minutes
  • Attend meetings

Community Involvement

  • Assist with and attend community events, when needed
  • Build and foster positive relationships with residents

Vendors

  • Meet with vendors
  • Create scope of work for project
  • Collect bids
  • Review project with BOD and contractor
  • Follow up upon completion of project before payment
  • Approve and ensure vendor payment made

Financials/Accounting

  • Work with internal accounting team to ensure the accuracy and

maintenance of finances, variance reports and invoice processing

  • Assist with annual budget creation
  • Audit - review
  • Review/identify adjustments
  • Distribute financial information to the Board/Finance Committee
  • Provide direction and recommendations to the board regarding insurance needs

Violations

  • Conduct monthly drive through inspections of the community

to ensure compliance with community standards

  • Review violation report
  • Review request to waive fine/violation
  • Report - distribute to the Board/committee
  • Follow up on owner reported violations
  • Create violation letters

Collections

  • Review HOA Collection Report
  • Review request to waive late fees/collection charges
  • Distribute Excel Collection Report to BOD

Communication

  • Return all phone calls and emails
  • Ensure the BOD is aware of legal actions involving the Association
  • Provides weekly updates of open items including collections, ACC requests, compliance,

service request and work order activity

  • Provide support and timely updates to BOD committees, as needed

Gate /clubhouse.pool access

  • Review/approve reservations requests
  • Ensure necessary access is performed

Qualifications:

  • Minimum of one (1) year managing Homeowner Associations (HOAs) preferred.
  • High school diploma or GED required. Bachelors or Associate degree preferred.
  • Community Associations Institute designation(s) preferred.
  • Excellent computer proficiency (MS Office - Word, Excel and Power Point).
