EVENT ADMINISTRATIVE ASSISTANT 
(Full-Time, Non-Exempt) Temp-to-Hire
 

  • Provide Support to the Personal Assistant to the President and GCS VP Executive Assistant
  • Provide Support to the Events and Business Development Teams
  • Assist other teams when directed

JOB OUTLINE: 
Specific Job Tasks: 
Maintain Inspiration Working Event Schedule 
Maintain Event Calendar 
Write and proof Destination Letters of Agreement 
Create Sample Staff Costs & Reconciliations 
Proof promotional materials 
Assist in large scale project development 
Create promotional packets 
Assist Personal Assistant to the President: 
Travel arrangements for select VIPs and Ministry staff 
Book inspection cruises/tours, handle financials, billing and flights 
Finalize cruise events with the cruise line 
Audit reports 
Assist Global Client Services Executive Assistant: Write and proof Letters of Agreement (LOA) 
Assist Client Relations Director: Proof meeting notes 
Maintain calendar entries 
Assist with conference preparation 
Proof Tour & Cruise proposals, staff documents and event schedules 
Initiate and update Event Internal documents 
Work in collaboration on the Israel Guide sheet 
Train appropriate support staff to cover all aspects of your job in your absence 
Adhere to company policies regarding punctuality and attendance 
Perform other job-related duties as requested by management

Job Requirements

KNOWLEDGE/SKILLS/ABILITIES:
PROFICIENT IN TYPING/WORD PROCESSING
BASIC TEN-KEY
ORGANIZATIONAL SKILLS
HIGH SCHOOL DIPLOMA
EXPERIENCE WORKING IN A TEAM ENVIRONMENT
PREVIOUS ICT WORK EXPERIENCE PREFERRED
PROFICIENCY IN BUSINESS WRITING AND COMMUNICATION
DEMONSTRATED PEOPLE SKILLS
ABILITY TO FOLLOW THROUGH WITH VERBAL AND WRITTEN COMMITMENTS
ABILITY TO PRIORITIZE WORKLOAD AND MEET DEADLINES
EXPERIENCE WITH TAKING INITIATIVE, CRITICAL THINKING, PROBLEM SOLVING AND
DEDUCTIVE REASONING
KNOWLEDGE OF CURRENT TECHNOLOGY (Microsoft Office Suite, Google Platform, Skype, Dropbox, Wrike, Mobile Apps)

SUPERVISION RECEIVED: This position is under the direct supervision of the Global Client Services Vice President and receives direction and work from the Personal Assistant to the President and the Global Client Services Executive Assistant to accomplish the goals of the organization. During particularly busy times of the year, this individual may be asked to assist other teams as directed by their supervisor. This position is also responsible to the Owners/Officers of Inspiration Cruises & Tours.
