Ultimate Staffing is searching for an Accounting Administrative Assistant to help manage a non-profit's day-to-day operations. Responsibilities include basic bookkeeping, event support, database management, and general office support.

Schedule: This is a 30 hour per week position, Monday - Friday approximately 9:00-4:00. There is some flexibility in scheduling.
Compensation: Starting wage is $20.00 per hour

Administrative Support:
This position is responsible for providing general administrative support as needed, including but not limited to:

  • Coordinate and confirm speaking engagements, maintain calendar, and make travel arrangements
  • Purchase office supplies and keep supplies stocked and organized
  • Prepare for Board of Directors meetings by preparing and printing agendas, minutes, and other documents
  • Maintain organizational files and documents
  • Serve as first point of contact for the organization
  • Perform basic bookkeeping tasks including bill paying, check cutting, mailing checks, making deposits, invoicing, running financial reports, assisting with annual audit etc.
  • Manage repair and maintenance of office equipment, including computers, phones and printers
  • Perform general administrative support
Special Events:
  • Assist with scheduling and coordination of school presentations and other speaking engagements
  • Assist with coordination of event logistics as needed (ie. Fundraisers, annual events, etc.)
  • Assist with donor communications, including appeal and "thank you' letters
  • Assist with print and electronic newsletters
  • Coordinate website updates would be a plus
Take on additional tasks as directed by the Executive and Board of Directors

Job Requirements

-Minimum five years related experience; nonprofit experience a plus.
-Proficiency with spreadsheets, databases, and word processing.
-Experience with Quickbooks.
-Ability to shift quickly from one task to the next and prioritize in a dynamic work environment.
-Strong attention to detail and ability to work as a team member with minimal supervision.
-Ability to actively listen and gather data.
-Solid written and oral communication skills and excellent phone manner.
-Resourceful and able to problem solve.
-Ability to develop effective work plans, organize details, set priorities, and meet deadlines.
-Ability to operate and troubleshoot standard office equipment.
