Job Description

A client of ours, located in Hillsboro, is seeking an Administrative Assistant to help run the office and assist the Mortgage Brokers with a variety of tasks. This client is looking for someone to train to become a Loan Processor in the future.

This person will mainly be answering multiline phones, greeting clients/visitors, will be handling lots of email and phone correspondence with insurance and title companies...sending and receiving many documents along with printing and scanning. The client would like someone not afraid of technology and the ability to learn new software and that understands Cloud based files. The hours are Monday thru Friday from 9:00 AM to 5:30 PM and there may be times the candidate will be in the office alone when the Brokers are out on appointments. Software knowledge preferred: Microsoft Word, Excel, Outlook and DocuSign.

Below are a list of duties you will be trained on...

  • Set up of all new loan files
  • Organize and stack files as per company procedures before submission to underwriting
  • Prepared and mailed time sensitive mortgage loan disclosures to clients
  • Submitting files online for initial automated approval
  • Upon Conditional approval from lender, send pre-approval to client
  • Ordering preliminary title reports, Verification of employment and appraisals
  • Obtaining Homeowners Insurance information and ordering insurance binders
  • Gathering and organizing all required lender conditions
  • Ensure all documentation is uploaded and labeled into a paperless processing system
  • Accurate and timely updates to the processing engine to make sure all fees, costs, property address, borrower information, program, rate, points, lock expiration date, appraisal, HMDA information and all aspects of the documentation are gathered and complete
  • Continuous follow up with clients, realtors and other third parties involved in loan transaction
  • Submitting fully documented files for final loan approval
  • Main point of contact for the borrower from the time of application through final approval
  • Order loan documents and prepare closing packages for escrow
  • Upon loan approval, contact borrower to set up signing appointment
  • Research and resolution of any discrepancies that may appear during the final audit process
  • Gather funding conditions
  • Audited final closing loan packages to ensure all funding conditions and compliance standards had been met
  • Required to meet regular deadlines and production quotas 40 to 50 files
  • Audit file from starting to fund to make sure we are in compliance
  • Scan complete close loan file to server
  • Mail and create marketing materials weekly or monthly
