Job Title: Administrative Secretary

Job Description:

Position Overview: We are seeking an organized and efficient Administrative Secretary to join our team. The Administrative Secretary will be responsible for providing administrative support to ensure efficient operation of the office.

Key Responsibilities:

  • Manage and maintain executive calendars, including scheduling appointments, meetings, and travel arrangements.
  • Coordinate and organize meetings, conferences, and events, including preparing agendas, taking minutes, and distributing materials.
  • Handle incoming and outgoing correspondence, including emails, phone calls, and mail.
  • Prepare and edit documents, reports, presentations, and other materials as requested.
  • Maintain office filing systems, databases, and records, ensuring accuracy and confidentiality.
  • Assist in the preparation and distribution of internal communications and announcements.
  • Coordinate office supplies procurement, inventory management, and equipment maintenance.
  • Greet visitors, answer phones, and direct inquiries to the appropriate personnel.
  • Assist with special projects, research, and other tasks as assigned by management.

Qualifications:

  • High school diploma or equivalent; additional education or certification in office administration is a plus.
  • Proven experience as an administrative secretary, administrative assistant, or similar role.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.
  • Strong organizational and time management skills, with the ability to prioritize tasks effectively.
  • Excellent communication skills, both verbal and written, with a professional and courteous demeanor.
